Read the file
Write a response letter to the customer letter in the file.
Start it by saying something nice like thanks for writing to us, and then the apology for the unfortunate or mistake. Last, offer a solution or/and compensation to the customer.
No big word or long sentence.
No long paragraphs, 8 sentence max for each paragraph.
Have at least 3 paragraphs.
Write in letter format as the format in the word document.
